These Terms and Conditions govern all services delivered by The MOSAIQS Ltd, including activity under SHARDS and Charlotte Marian Pearson. By accessing or engaging with our services or content, you agree to these terms.

1. Scope of Services

The MOSAIQS Ltd offers services including, but not limited to:

  • Strategic consultancy and brand development

  • Public speaking and content production

  • Inclusive campaigns and peer support

  • SEND navigation, personal development, and advocacy

  • Creative sessions such as content/photography days

  • Professional partnerships, events, and advisory work

Clients are responsible for submitting accurate, timely information. Incomplete details may lead to delays, cancellation, or withheld refunds.

2. Booking and Payment Terms

Individual Clients

  • A non-refundable deposit (typically 20%) is required to secure your booking.

  • Full payment is required prior to final delivery of service or materials.

  • Late payments may result in delays or session cancellation.

Organisational Clients

  • Payment terms of 30–90 days are available by agreement.

  • A formal proposal and contract will outline scope, timelines, and invoicing terms.

Payment methods accepted: Bank transfer, Stripe, and PayPal. Invoices include due dates and terms.

3. Cancellations and Refunds

  • Cancellations with more than 48 hours’ notice: eligible for refund (minus 10% admin fee).

  • Cancellations within 48 hours: deposit is non-refundable.

  • No-shows are not eligible for refund.

  • Refunds are only provided if The MOSAIQS Ltd is unable to deliver the agreed service. Requests will be reviewed on a case-by-case basis.

4. Intellectual Property and Copyright

All materials created by The MOSAIQS Ltd, including documents, photography, resources, and creative assets, remain the intellectual property of the company unless otherwise stated in writing.

Clients are granted a non-transferable licence for personal or internal business use only. Redistribution, adaptation, or commercial use without written permission is prohibited.

Copyright Notice: All content is protected under UK copyright law. Unauthorised use or reproduction may result in legal action.

5. Consent and Media Usage

No client content (photos, quotes, feedback, or project examples) will be used for marketing or educational purposes without explicit, written consent via our Content Release Form.

Clients may revoke consent at any time by emailing solutions@themosaiqs.com. Upon revocation, content will be removed within 14 working days where feasible.

6. Confidentiality

All client information, correspondence, and session discussions are treated as confidential, except where:

  • Required by law

  • A safeguarding concern necessitates disclosure

  • The client has given explicit written permission

Confidentiality obligations remain in effect after the service ends.

7. Safeguarding and Duty of Care

The MOSAIQS Ltd adheres to all UK safeguarding legislation, including:

  • The Children Act 1989 and 2004

  • The Care Act 2014

  • The Safeguarding Vulnerable Groups Act 2006

  • The Equality Act 2010

We are committed to promoting the welfare of children, young people, vulnerable adults, and neurodivergent individuals. All staff and contractors are trained in safeguarding practices and undergo enhanced DBS checks where applicable.

Safeguarding concerns will be documented and referred to appropriate authorities where necessary, in line with legal duties.

8. Inclusion and Accessibility

We operate an inclusive, values-led service. This includes:

  • Pricing structures that offer scholarship or pay-what-you-can options (where available)

  • Adjustments for access needs (e.g., digital, sensory, language)

  • Clear ethical boundaries and respectful communication

Discrimination of any kind will not be tolerated.

9. Data Protection and Privacy (GDPR)

The MOSAIQS Ltd is fully compliant with the UK General Data Protection Regulation (GDPR).

  • Data is collected only when necessary and with consent

  • All personal data is securely stored with restricted access

  • Clients may request access, updates, or deletion of their data at any time

Retention periods:

  • Client data: 3 years from last activity

  • Financial records: 6 years in line with HMRC guidance

  • Talent or media submissions: 2 years unless otherwise agreed

10. Liability and Professional Standards

The MOSAIQS Ltd delivers services with skill, care, and professionalism. However:

  • We are not liable for outcomes resulting from decisions clients make based on our input

  • We do not guarantee press, funding, or media outcomes unless contractually agreed

  • Liability is limited to the total amount paid for the specific service in question

Insurance Coverage:
We hold public liability and professional indemnity insurance. Certificates can be provided on request.

11. Complaints and Client Concerns

Feedback is welcomed and complaints are taken seriously.

  • Concerns should be emailed to: complaint@themosaiqs.com within 7 days of service

  • Subject line: “Client Concern – [Your Name]”

  • We will respond within 3 working days and aim to resolve issues within 10 working days

Where appropriate, outcomes may include a follow-up session, explanation, or partial refund.

12. Force Majeure

The MOSAIQS Ltd shall not be held liable for delays or failures in service due to circumstances beyond our control, including but not limited to: illness, internet or utility outages, natural disaster, public health restrictions, government orders, or any event legally considered “Force Majeure.”
